QR Codes in Email Signatures: Worth It or Not?
An email signature already has clickable text links, so a QR code only adds value in specific situations. Here's when it actually helps, and when it's just extra clutter.
Where it actually helps
A QR code in a signature is useful when the recipient needs to act on their phone, not their computer:
- ▸Saving your contact details — a vCard code lets someone reading your email on a laptop scan it with their phone to add you to their contacts, something a text link on a desktop screen can't do directly.
- ▸Booking a call — if your signature links to a scheduling page, a code lets someone scan straight from their inbox to their phone's calendar app, skipping the email-to-browser-to-app hop.
- ▸WhatsApp Business — for sales or support roles where the actual conversation happens over WhatsApp, a code opens a chat pre-filled with a starter message, which a plain link handles less smoothly on desktop.
Where it's just noise
If your signature already has a clickable link to your website or LinkedIn, adding a QR code that points to the same place doesn't add anything. The recipient is already looking at a screen with a working link under their cursor. A code only makes sense when it does something a text link genuinely can't (device-to-device handoff, auto-filling contact details, opening a specific app).
Sizing for an email signature
Signatures are small and viewed on screens of wildly different sizes, from a phone to a 27-inch monitor. A few things matter more here than in print:
- ▸Export at a fixed pixel size around 80-100px, large enough to scan reliably from a phone screen shown on a laptop display, without dominating the rest of the signature.
- ▸Use PNG, not SVG. Most email clients strip or inconsistently render embedded SVG images. PNG with a transparent background embeds reliably everywhere.
- ▸Keep the destination URL short. A signature code is viewed small, on varying screen qualities, so a dense pattern from a long URL is the most common cause of scan failures here.
