QR Codes for Events and Conferences

Events generate a lot of one-time information: schedules, room assignments, speaker details, Wi-Fi passwords. A QR code moves each of these from a printed sheet someone loses to a phone someone already has with them.

Add the schedule directly to attendees' calendars

A calendar-event QR code encodes a title, start and end time, location, and description. Scanning it offers to add the event straight into the phone's calendar app, with no manual entry and no missed sessions because someone forgot to write down the time.

This works especially well for single standout sessions (a keynote, a workshop with limited capacity) printed on a session-specific flyer, rather than trying to encode an entire multi-day agenda into one code.

Badge check-in and networking

Two common patterns on printed badges:

  • ▸Contact exchange — a code on the back of a badge encoding a vCard. Other attendees scan it to save the person's name, company, and email directly, instead of exchanging paper cards that get lost.
  • ▸Session feedback — a code at the exit of each room linking to a short feedback form, collected while the session is still fresh instead of a single survey emailed days later.

Venue Wi-Fi without spelling out the password

Conference Wi-Fi passwords are often long, randomly generated strings that are painful to type on a phone keyboard. A Wi-Fi QR code connects automatically on scan, no typing. Print it on the welcome signage and on a small card in the attendee pack.

Where to place codes at an event

  • ▸Entrance signage — large format, for the full schedule or Wi-Fi details, visible from a few meters away.
  • ▸Room doors — smaller codes for that specific session's calendar event or feedback form.
  • ▸Badges and lanyards — small, for contact exchange between attendees.

Creating your event QR code with oh my qr

Choose Event for a calendar invite (title, start/end time, location, description), Contact for badge check-in, or WiFi to share network access without printing the password in plain text.

For signage printed at large sizes, always download the SVG. It scales to any dimension without the pixelation a stretched PNG would show on a banner.
